QR codes on event tickets and badgesOne code gets them in. Yours tells them where to go.

Add an information code to the tickets, conference badges and festival passes people carry all day: the schedule, the venue map, a speaker’s contact or the latest updates. Admission stays with your ticketing system. QR Rapid doesn’t issue tickets or check them at the door.

Scan for the schedule

The back of a conference badge on a lime lanyard, carrying an information QR code labelled Scan for the schedule, and a ticket whose main part holds a placeholder for the admission code from the ticketing platform, with the information code on its stub.

Illustrations of printed pieces with fictional businesses. Lumen Conference is a fictional event. The hatched squares stand in for the admission code and can’t be scanned; the information codes open this page.

Two codes, two jobs

Your ticketing platform lets people in. The information code helps once they’re there.

Every ticket or badge can carry the same information code, because everyone needs the same schedule. The admission code stays exactly as your platform issued it.

  • Keep them apart: a different side of the badge, a different part of the ticket.
  • Label both, so staff and guests know which one to use.
  • Make the information code look different. A frame can carry “Scan for the schedule” (frame text is up to 30 characters).
  • Give the admission code the space your ticketing platform asks for, and fit the information code around it.
  • Scan a printed proof of both before the full run.

Planning the venue as well? QR codes for events and conferences covers posters, entrance Wi-Fi, agenda boards and signs. This page stays with the pieces guests carry.

Behind the information code

What the code on the badge can open

  • The schedule

Link your agenda page, or upload the programme as a PDF you can replace later.

URL QR code or PDF QR code

  • The venue map

A picture of the halls and stages, or a printable venue guide.

Image QR code or PDF QR code

  • A speaker’s or exhibitor’s contact

With a dynamic vCard code, a contact page with an Add to Contacts button. Each vCard code holds one person, so make one per speaker or exhibitor, not one per attendee.

    vCard QR code

  • Networking and exhibitor links

One mobile page with a button each: the exhibitor list, the community group, sponsor offers.

Back

Front or back

Where the code goes on what people carry

Conference badge
Badges turn on a lanyard. Print the name on both sides so a flipped badge still works as a name tag, keep the admission code on the front and the information code on the back.
Exhibitor badge
The back can carry that exhibitor’s own vCard code, so visitors save the contact from the badge. Everyone else keeps the shared schedule code.
Badge size
A badge is small and partly covered by the clip and a jacket. Keep the code below the punch hole with a clear margin, and don’t shrink it to fit more text.
Festival pass or wristband
Space is tight and the surface may curve. Keep the code plain with strong contrast, leave out the logo if it crowds the pattern, and scan a printed proof before ordering.
Handouts and programmes
A session handout can open that talk’s slides as a PDF; a printed programme can open the current schedule.
After printing

When the programme changes, the badges don’t have to.

A dynamic code prints a short QR Rapid link. Replace the PDF schedule, or change the address a URL code opens, in your dashboard, and every ticket and badge already printed follows.

A static code is fixed to what you typed when you made it and isn’t tracked. For anything printed weeks ahead, use a dynamic one. Event codes are always dynamic.

  1. 6 weeks outBadges printedThe back code opens programme v1, a PDF.
  2. Event weekA speaker drops outReplace the PDF with v2. Printed badges open v2.
  3. Day 2, 08:30Keynote moves to Hall AUpload v3 with the new room before doors open.
  4. AfterSlides go onlineReplace it once more with the slide links and next year’s date.

A dynamic code works while it’s active in your QR Rapid account; if it’s deactivated (for example when a plan ends), scans show an inactive-code page until you reactivate it.

Statistics

See when the code gets used, not who used it

Want to compare the badge code with the handout code? Duplicate a dynamic code, rename each copy after where it’s printed, put them in one folder and filter Statistics by code.

What you see

  • Scans by hour, day or week for each dynamic code
  • Device and operating system
  • Country and city
  • Estimated unique visitors, based on distinct IP addresses: an estimate, not a head count
  • Filters by code, folder, type and status

What it isn’t

  • It counts scans, not attendees. One person can scan twice; two people can share a phone.
  • It doesn’t identify who scanned or link a scan to a ticket or badge holder.
  • It isn’t an attendance record or a door count.

Ticket and badge QR code questions

Can QR Rapid check tickets at the door?

No. QR Rapid doesn’t issue tickets, scan them at the door, stop a ticket being used twice or record attendance. The admission code comes from your ticketing or registration platform; a QR Rapid code sits beside it for information.

Won’t two codes on one ticket confuse people?

Keep them apart and label both: “Show at entry” beside the admission code and “Scan for the schedule” beside the information code. On a badge, the back is a good place for the information code, away from where door staff scan.

What if the schedule changes after badges are printed?

Use a dynamic code. Change the destination, or replace the PDF schedule, in your dashboard and every badge already printed opens the new version.

Can each speaker’s badge share their contact details?

Yes. A dynamic vCard code opens a contact page with a button to save the contact. Each vCard code is made for one person, so create one per speaker or exhibitor.

Which type should the venue map use?

Image for a map picture, PDF for a printable venue guide, and URL when the map already lives on your event website.

Can I see how many people scanned the badge code?

Statistics shows scans over time, devices, countries and cities, and estimated unique visitors for each dynamic code. It counts scans, not attendees, and doesn’t identify who scanned.

Pick what the information code opens

Each button opens the generator with that type selected. Not sure? Start with an Event QR code. Design the code in the generator, then create your account to download it.

  • Date, venue on a map and calendar buttons.

    Create an Event QR code
  • Your agenda, map or updates page.

    Create a URL QR code
  • One speaker’s or exhibitor’s contact.

    Create a vCard QR code

Every account starts with a 7-day free trial, no credit card required.

What a QR Rapid ticket code isn’t

  • It doesn’t issue tickets or replace the admission code from your ticketing or registration platform.
  • It doesn’t validate tickets, scan them at the door or stop a ticket being used twice.
  • It doesn’t check people in or track attendance.
  • Every ticket or badge with the same code opens the same page; it isn’t personal to the holder.
